Correct names, numbers and errors in an AI transcript

A corrected transcript should establish what was said before making it sound polished. Fix the details that change meaning first; a missing comma matters less than a missing not.

Review the high-impact words first

Start with names, quantities, units, dates, negation and conditions. They often occupy only a few words but determine what someone has agreed to do. A missing not can reverse a release decision; a missing comma usually cannot. Mark uncertainty before changing anything, so your best guess does not become an invisible correction.

Use a working copy in your normal editor if you need a corrected document. Preserve the source according to your agreed retention rules. This is a manual review workflow, not a promise of an in-app transcript editor, audio replay or automatic change history in GPT Realtime Assistant.

Compare meaning rather than fluency

For an invented example, the raw line says: “Send forty units to North on the fifteenth, unless QA passes.” The speaker confirms: “Send fourteen units to Noor on the fifth, once QA passes.” The amount, recipient, date and condition all changed. A grammar pass might leave every important mistake intact because both versions read as valid sentences.

Record the basis of a material correction: “Quantity and date confirmed by speaker afterward.” Do not claim an audio comparison if no recording exists. If the word remains uncertain, write “[quantity unconfirmed]” and ask the responsible person before anyone acts on it. A visibly incomplete note is better than a confidently invented one.

Ask AI to flag uncertainty, not erase it

Try: “Identify ambiguous names, quantities and contradictions in this excerpt. Return the original phrase, what needs confirmation and the consequence of an error. Do not replace uncertain words or infer a missing date.” This makes the assistant a review aid rather than an authority on an unheard phrase.

An apparent inconsistency between a quantity and a later total is worth checking. It does not prove which number is wrong. Compare with the authorized recording, source document or speaker, and preserve the surrounding sentence so you do not remove a condition while fixing a number.

Follow a correction sequence

Microsoft documents editing in its own transcription workflow. That is evidence that review can be part of transcription, not proof that another app has the same controls. Keep your procedure grounded in the installed product and use an ordinary document when needed.

  1. Read the excerpt for its overall meaning.
  2. Mark high-impact uncertainty without guessing.
  3. Consult the evidence you are authorized to use.
  4. Confirm ambiguous commitments with the person responsible.
  5. Correct the working copy and explain changes that affect decisions.
  6. Read the entire revised sentence for meaning, not just spelling.

Stop where the evidence stops

Overlapping voices and uncaptured speech cannot be reliably reconstructed through repeated rewrites. A model can produce a sentence that fits the topic without recovering the original words. Ask for a fresh statement or issue a clarification when the missing detail matters.

Label the result as a working transcript, corrected transcript or summary. Someone relying on it should know whether the text preserves wording or condenses meaning. If a correction changes an amount, owner or deadline already circulated, tell the recipients rather than quietly replacing the earlier version.
